Policies and Rules for Portable Equipment and Facilities
All users of Park School portable equipment & facilities must comply with policies, staff requests, & rules set by the Roy H. Park School of Communications. Failure to comply may result in judicial procedings.
Changes in policies &/or procedures may occur from time to time, & will be posted around Park Hall. Ignorance of policies or rules will not exempt their application or enforcement.
Park Card
- Park Cards & their associated privileges are non-transferable.

Violators transfering equipment or services will accrue the following penalties:
- Privileges will be suspended from the time of violation for a period of at least 4 full business days following the incident.
- All unresolved reservations will be cancelled.
- The Park Card will be held until the suspension period has expired.
- Judicial procedings may follow as warranted.
Reservations
- A user must present a valid Park Card & Ithaca College ID to make reservations.
- Reservations are done on line or at the Scheduling Counter located within PPECS.
- Portable equipment &/or facilities reservations are non-transferable.

- Privileges will be suspended from the time of violation for a period of at least 4 full business days following the incident.
- All unresolved reservations will be cancelled.
- The Park Card will be held until the suspension period has expired.
- Judicial procedings may follow as warranted.
- Available portable equipment &/or facilities may be reserved up to 16 days in advance.
- Available portable equipment may be reserved for up to 48 hours. (Please only reserve equipment for as long as needed, so that it can be made available for other users.)
- Some equipment &/or facilities may require certification testing prior to reservation. (Check with your faculty member or a checkout center assistant to see if this applies.)
- Facilities may be reserved for periods of up to 4 hours per reservation.
- Cinema XTR Prod and HDV Camera requests require a Camera Package request form signed by the appropriate professor or faculty advisor.
- 24 hour notice is required to reserve any motion picture or HDV cameras.
- Reservations can be canceled by the user on line or by phoning the appropriate checkout center.

If a user does not pick up his or her reservation
without cancelling it in advance the following penanties are accrued:
- Privileges will be suspended from the time of violation for a period of at least 4 full business days following the incident.
- All unresolved reservations will be cancelled.
- The Park Card will be held until the suspension period has expired.
- Judicial procedings may follow as warranted.
Certification Testing
- Tests can be scheduled at the Scheduling Counter in PPECS.
- Video camera tests are 30 minutes in length.
- Cinema camera tests vary in length depending on camera model.
- All receiving tests are required to arrive 5 minute before test.
- Any arriving 10 or more minutes late for a test will be counted as if absent.

Any absent for a test will accrue the following penalties:
- Privileges will be suspended from the time of delinquency until the expiration of 4 full business days.
- The Park Card will be held until the suspension period has expired.
- Failure to complete the test within the allotted time will result in a failure for that test.
- A test may not be rescheduled for at least 2 days after the user's last scheduled completion time.
Travel Restrictions
- Advance Travel Authorizations must be made with the Portable Equipment & Facilities Manger (Park 114) for equipment traveling beyond 100 miles of Ithaca College. (Additional insurance may be required.)
- Equipment may not travel outside of the United States.
Equipment Pickups
- Portable equipment not dedicated to a particular fixed facility can be picked up or checked out at PPECS (Park 113).
- A user must present a valid Park Card & Ithaca College ID to pick up equipment.
- Equipment must be picked up by the person under whom the equipment or facilities was reserved.
- Reservations for portable equipment not picked up within 90 minutes of the reserved time will be cancelled.
Facility Checkouts
- Fixed facilities (rooms, editing equipment, etc.) can be picked up or checked out at Master Control (MCR, Park 159).
- A user must present a valid Park Card & Ithaca College ID to check out facilities.
- Facilities must be checked out by the person under whom the facilities were reserved.
- Reservations for facilities not checked out within 10 minutes of the reserved time will be cancelled.
- The user is required to be in attendance for all the time during which the facilities under his or her name is reserved.
- Eating, drinking, &/or smoking are not allowed in the production facilities.
- The user is responsible for all the equipment included with the facility reserved under his or her name.
- The user is responsible for the cleanliness of all facilities (& its related equipment) under his or her name.
- If a facility is found in unacceptable condition, the user under whose name the facility is reserved will have his or her privileges suspended for a period of time determined by the governing staff based on severity &/or regularity of incident.
Returns
- Equipment & facilities must be returned or checked in by the person under whom the equipment or facilities were reserved.
- Equipment must be returned no later than 1 hour before PPECS closes.
- Facilities must be checked in no later than 5 minutes before MCR closes.
Renewals
- 12 hours must be allowed between checkouts of like equipment types for verification & maintenance.
Delinquency

Once equipment is overdue,
the user under whose name the equipment is out
will accrue the following penalties:
- Privileges will be suspended from the time of delinquency until the expiration of 4 full business days following the return of the equipment.
- All unresolved reservations will be cancelled.
- The Park Card will be held until the suspension period has expired.
- The user under whose name the equipment is out assumes financial responsiblity for the replacement cost of all lost equipment on his or her order.
Equipment Damage
- The user assumes responsibility for any & all damages to equipment while checked out in his or her name regardless of whether or not it was noted by the user at the time of checkout. (The user is welcome to thoroughly inspect the equipment in the "breakout area" of PPECS prior to committing to the checkout.)
- If damage is found on equipment when it is returned, the equipment will be treated as if it were not returned until the user, whose name it is under, has met with the Portable Equipment Manager & made arrangements for restitution to be made for the repair or replacement of the damaged equipment.
- Deception on the part of the user about the conditions or circumstances behind the damaged equipment may result additional penalties including possible judicial procedings toward the user.
- The length of privilege suspension for damaging equipment may be extended by the Portable Equipment and Facilities Manager &/or the Director of Technical Operations as a penalty depending on the circumstances, regularity, &/or severity of the incidents involved.
Waivers & Exceptions
- Exceptions to policy may be made for extraordinary circumstances through the Portable Equipment & Facilities Manager (Park 114).
